Terms and Conditions of booking and staying at Dolbryn Caravan & Campsite

Booking procedure, payment, groups and COVID-19 Guarantee from June 2020

  • All guests must agree to behave in a socially responsible, and respectful manner whilst staying at Dolbryn. Please be respectful of other guests and staff, and follow all guidelines and rules given to you.  

  • A 15% deposit is required at the time of booking to secure your pitch.

  • We will contact you when the balance is due – approx 5 days prior to arrival, or we may advise you to pay on arrival. This is to minimise the administration necessary if government and local laws regarding travel change.

  • We offer flexibility with your booking – if you need to change the dates because you or a family member falls ill with Covid-19 or you or your family needs to self-isolate, then we will reschedule your booking in 2021 or 2022 or offer a credit note if you are unsure which dates to re-book. There will be no charges for this.

  • Your deposit remains non-refundable (except in the event that government law or our Local Authority forces us to close due to Covid-19 – see below). If you need to cancel your holiday because of Covid illness or because you choose not to travel then we will move your booking to another date in 2021 or 2022 or offer a credit note for whatever has been paid. If you have paid the balance for your booking (after June 2020), this is also non-refundable.

  • If Dolbryn is forced to close by law, we will move your booking, offer a credit note or refund your deposit (and balance paid if applicable).

  • The shared facilities will be open from the 17th May 2021, but they are subject to social distancing measures and reduced capacity and so the wait may be longer. If you have toilet/shower facilities in your caravan or motorhome, these should be used where possible.  There may be times when we have to close some/all of the facilities at short notice for a deep clean, or due to changes in government regulations. We will try our best to keep you informed of these changes. All shared facilities are used at your own risk.

  • The activities usually on offer are also reduced – we cannot offer Sticky Club. Animal Feeding will run at a socially distanced capacity and the bar activities/events will be on an ad-hoc basis.

  • Please note that the bar is currently open for outside service only and the shop is open for 1 hour per day.

  • Please check with us at the time of booking for the most recently updated list of open/closed facilities.

  • We cannot take multiple/group bookings booked under one name at present.

  • Any pitches that know each other will be expected to STRICTLY adhere to the current social distancing guidelines.

  • Each person in the booking should be resident in the same address usually (apart from the situation where a bubble has been formed).

  • We strongly recommend that you take out holiday insurance to cover any illness or cancellation by yourselves.

  • Strictly no day visitors will be permitted until further notice.

  • We do not permit separate shower tents.

  • Under no circumstances should you travel to Dolbryn if you (or anyone in your party) feel (or have felt in the last 14 days) unwell or are showing symptoms of Covid-19. In this case please contact us to re-arrange your booking or arrange a credit note.

  • We cannot accept bookings or check-ins from guests that live in areas that are under local lock-down at the date of arrival. If this is the case for you, please contact us to re-schedule your booking or arrange a credit note.

  • For 21 days after departure, we will keep data such as a contact name, address, telephone number and arrival date for each guest, and if required, these will be passed to the NHS Wales Test, Trace and Protect Service (more information here)

  • If you become unwell with Covid-19 symptoms whilst staying at Dolbryn, please notify us by message, phone or email. In the first instance, you should immediately self-isolate at your unit to minimise risk of transmission. You should request a test (through the NHS website). If Covid-19 is confirmed, then you should travel home if it safe to do so. If it is not safe, the healthcare provider will discuss the options with you.

  • Please help us to keep everyone safe by abiding to social distancing rules, wearing a face mask and gloves while using the facilities, water taps and chemical toilet and being responsible for your own strict hand washing regime.        

  • By booking your stay and later checking-in, you are confirming that you will be staying at Dolbryn at your own risk and are healthy and Covid-19 symptom free at the time of travelling to Dolbryn.

  1. Booking: A 15% deposit is required at the time of booking to secure your pitch. The balance is due one month before arrival. If arrival is within one month then entire balance is due at time of booking.

  2. Pitches: Our pitch prices include two adults, a car, a caravan awning or one additional unit (shelter/gazebo/pup tent/toilet tent) and up to two dogs. It is your responsibility to ensure that you can fit both your vehicle and unit on the pitch allocated to you, and if you bring extras these must fit within the pitch.

  3. Arrival: Your pitch, Pod or Ready Tent will be available from 2.00pm on the day of your arrival. Check out is by 12 noon on the day of your departure. Please notify us if you will be arriving after 8.00 pm as reception closes at this time. Early arrival and late check-out is usually available during quieter times; please enquire

  4. Cancellation: If you need to cancel your booking please let us know as soon as possible. Refunds are not normally given without at least one month’s notice and a justifiable reason. All deposits are non-refundable.

  5. Party size: We allow a maximum of 6 guests onto a touring pitch at any one time, with a maximum of 4 of these being adults. If your party is larger than this then you will need to book another pitch for an additional tent/caravan. If you wish to add people to your pitch after booking then please contact us.

  6. Additional Cars: Strictly one car is to be parked by each pitch/pod/ready tent. You can book additional cars (at an extra nightly cost) but these must be parked in our parking area – they cannot be parked next to your tent.

  7. Etiquette: A pitch is reserved for you with the expectation that all of our guests will follow the usual customs of good camping and caravanning. We reserve the right to ask you to leave at any point of your stay if the behaviour of any member of your party is unacceptable to us and no refund of monies will be paid.

  8. Groups: The following group bookings are not allowed online: groups of 4 or more pitches, single-sex bookings of 4 or more people and groups of 4 or more under 25s. Any group bookings must strictly adhere to the site noise and general etiquette rules.

  9. Noise: Please observe the good camping etiquette code and do not allow noise/music from your pitch to disturb others. If you can hear music outside of your pitch then it is too loud. All music/television/games tablets should be inaudible by 9:30pm. Children should be back with their parents/adults by 9:30pm and all guests are asked to observe our quiet rule after 11:00pm.

  10. Liability: We cannot be liable for any personal injury (fatal or non-fatal) unless caused by a negligent act or omission by the company or its employees.  Dolbryn Caravan and Campsite will not be liable for any injury, loss or damage to any property.

  11. Speed: Please keep speed to a minimum on site at all times, be it by car, bike or any other wheeled transport.

  12. Vehicles: No commercial vehicles are allowed on the park.

  13. Children: Children must be kept under proper supervision at all times, in all areas of the park. There are two ponds and a stream here at Dolbryn, and although the ponds are gated, they can be a dangerous area for children to be unsupervised. Children under 8 years old should be supervised whilst using the toilet and shower facilities. Children should return to their parents by 9:30pm.

  14. Visitors: If you have day visitors to your pitch at Dolbryn please check them in at reception on arrival. There is a small charge for day visitors and any visitor cars must be parked in the parking area.

  15. Lights: Flags and a few decorative lights are acceptable but please no flashing or very bright lights – these can be quite disruptive and distracting to other guests.

  16. Fishing: A coarse fish rod licence (see www.gov.uk/fishing-licences/buy-a-fishing-licence) is required for fishing in the lake. No bathing or paddling is allowed. No night fishing is permitted. Children must not fish alone and must be accompanied at all times within the fenced lakeside area. 

  17. Dogs: Dogs are welcome at Dolbryn (we do not allow breeds listed as Dangerous Dogs), but must be on a lead at all times throughout the site, except when using the designated dog walking areas at the top field or in the vineyard. Please do not leave your dog unattended in your tent or caravan and please ensure you clean up after your dog. We do have a doggy day kennel available for hire if you wish to go out for a few hours without your dog; please enquire at reception. We allow a maximum of 2 dogs per pitch, but sorry no dogs in the pods or ready tent.

  18. Fires: Fire pits and barbecues are permitted providing they are put on bricks or blocks to prevent damage to the grass. If you need to borrow bricks then please ask at reception.

  19. Rubbish: Please dispose of all rubbish responsibly. Recycling bins and general waste bins are provided onsite for you to separate your rubbish at all times.

  20. Website and images: We take every care to ensure that the details on this website are accurate. Photographs taken of the park are for guidance only.

  21. Complaints: Please notify us of any problems or dissatisfactions around the site. If it is under our control to correct them then we will do our best to rectify the problem so you can enjoy the rest of your stay.

  22. Data Protection: We collect and hold personal data so that we can create and maintain your booking. Should you opt to receive marketing e-mails from us, we will also store your e-mail address in order we can send you such e-mails a few times a year. We may also disclose your data to CampStead Ltd who may contact you, inviting you to complete a questionnaire and review regarding your stay at our park.   23. Contract: Our contract is subject to these terms and conditions of booking. The personal details you provide must be true and correct. We reserve the right to decline or terminate the booking of any guest(s) whose party make-up or behaviour interferes or may interfere with the general comfort of other guests or staff. In the event no refund will be made.
